Restoration HQ / Worked example

One missing photo.
One clear next step.

The office opens a water damage job file and finds a gap. Follow the missing record from the first review to the person responsible for resolving it.

INVENTED JOB / PROPOSED PROCESS

An invented job-file example. Proposed process, not a working integration or client result.

Sample job R-104 / water damage restoration

The handoff needs a record,
an owner and a decision.

The office reviewer checks a sample file against the company's own checklist. This is an illustration of the process your team would define, not an automatic technical assessment.

  1. 01

    Field records arrive.

The folder contains the job reference, agreed scope, labeled photos and the logs required for this example. The field reviewer marks their handoff ready for office review.

Person responsible: field reviewer. Next action: office review.

  2. 02

The office finds a missing photo.

The checklist calls for a final hallway photo. It is not in the folder. The office records that specific gap instead of changing the whole job to an ambiguous “pending” status.

Person responsible: office reviewer. Next action: assign the missing item.

  3. 03

    A person owns the follow-up.

The field reviewer gets one clear request: locate and upload the final hallway photo by Tuesday at 3 PM. If the record does not exist, report that exception for a qualified review. Do not fill the gap with an assumption.

Person responsible: field reviewer. Next action: provide the record or report the exception.

  4. 04

    The office reviews the response.

The reviewer checks the submitted item and records the decision. Remaining questions stay visible. Billing preparation follows the company's own approval requirements; a file status does not authorize an invoice.

Person responsible: office reviewer. Next action: confirm the handoff or name the unresolved decision.

What the example demonstrates

Specific missing information, assigned responsibility and an explicit review before the next business step. The same sequence can be discussed using a shared folder and an existing checklist.

What still needs implementation evidence

Any live tool connection, automatic reminder, permissions, exception handling or production use. Restoration HQ remains portfolio development work; this page is not proof that those capabilities are deployed.

Try it with your team

Can two people follow
the same job file?

Ask a field reviewer and an office reviewer to use the checklist on a redacted example. Wherever they need to ask “where is it?” or “who has it?”, you have a useful starting point for a review.

Want help finding the gap?

We can scope a job-file handoff review: map the steps, identify missing items and decide whether the first fix is process, configuration, a connection or a separate build.
